Easy Time Clock Software Can In The Workplace

Any company that employs a quantity of workers is likely to want and need to keep track of their attendance. This is especially important if those same staff are paid an hourly rate and work shifts or overtime. Clock card systems and manual clocking registers are not as reliable as using easy time clock software which is beneficial to any business. Managerial staff is then freed up to focus on other aspects of running the company while knowing that their attendance is accurately monitored.

Companies will be able to accurately assess any workers that are not meeting their attendance requirements and deal with the issues in whatever manner is appropriate. Problems are eliminated with a reporting system that is accurate and up to date, giving information reports as they are needed. Productivity and staff morale can improve as a result of this new software.

The old way of capturing hours worked, using a book and either letting staff capture their own arrival and departure times or having a supervisor do it, is generally not accurate. Either people would falsely capture the information to cover up wrong-doing such as arriving at work late or leaving early, or claim overtime when they had not worked longer hours.

Supervisors that were less than honest had the control and could easily lie in the old system. They could show bias towards particular staff members, altering times to either favour or penalise them as they felt like doing. Besides the obvious matter of unfairness to the staff member that is now losing time that they worked, it's stealing and should be considered as such.

Once an automated clocking system is installed in the workplace and is working correctly, the risk of abuse is dramatically reduced. Access to data is immediate and accurate, no longer requiring that administrators and payroll staff call for physical cards and books to monitor. There is no longer a need for manual calculations and staff can no longer cheat their employer and fair business practice is re-established.

Once the devices are installed, they are linked to either the local wireless internet or in some cases, 3G. Data is now instantly available for a manual search or various levels of reporting can be established whereby the program is set up to automatically send out time and attendance reports to specific managers on their own staff. Because the units are linked online, they can be repaired and updated remotely as well as release data immediately.

Any of the readers, as well as any number of them, can be installed where required. Having a reader at the main entrance to the company, and linking it to the door or gate, allows entry only upon positive identification. Security is also upgraded as it can prevent certain staff from accessing restricted areas, or only allow entry during certain times. The worker will place his finger on the scanner and once his fingerprint is identified, the time is linked to his record.

Any manual measuring system, such as clock cards, is able to be abused and it's often difficult to find proof of it. Using a biometric clocking system will eliminate all these risks. As soon as the workforces fingerprints are on record and their identity uploaded, all other information being read is available. The administrators of the system would also be able to capture information such as shift times, annual leave, area access as well as their position and rate of pay.
