In the past, offices used to be disorganized and dusty because of the files that have been on the shelves for an extended period. It was also difficult to trace documents when they are urgently needed. However, things changed when technological inventions allowed office workers to use a gadget know as a scanner. The scanner enables document scanning and storage. This method has many merits to a company that has adopted it.

The major advantage of adopting this method is efficiency. Retrieving a document has become easy and quick hence saving a lot of time. When time is used well in a company, staff members get along well hence productivity is achieved. Saving of time ensures that the clients requiring your service are satisfied with your services.

Filing system needs much space to accommodate all the paper in your office. It means that the business proprietor has to rent a huge space to accommodate all the files that have accumulated in a couple of years. In the scanning of documents, only a computer is needed to save the image produced by the scanner. This is very economical because the amount of money used to rent the space is directed to other projects and bills.

For private documents, scanning has helped significantly to ensure confidentiality. This is because the documents are stored in computers that have passwords. No one can get access without following the proper channels. Therefore, this minimizes theft of files and forgery.

Once the hard copy is lost or rained on, the damage caused is irreversible. Scanning the document and storing it in a computer makes it safer to damage. Nowadays, one can even carry multiple copies by using a flash disk.

Trees are responsible for the production of oxygen which is a necessity for plants and animals. The same trees are used to produce paper. This means that the more trees you cut, the less the oxygen. It is highly encouraged that people use scanners so that use of documents can be minimized. This will lessen the demand for papers and deforestation as well.

It is also easier to managed scanned data than filed papers. This is because one scans copies and saves them in an organized manner while filing is less organized. Any officer can take a file out and place it anywhere in the room without informing other workmates hence leading to a poor working environment. Therefore, people should be encouraged to adopt this process as quickly as possible.
