The Different Elements Of ECM Document Management

Companies rely on content. They rely on information. As a matter of fact, information is the lifeblood of an organization. All the secrets, strategies, goals, processes, financial information, and data of an organization are held in documents. That is why ECM document management is vital. This involves a number of elements. Of course, there is the capture element. Indexing should also happen.

There are a number of ECM definitions out there. The first definition was posted in 2005. Since then, different organizations and people have defined it in different ways. Basically, it is seen as a technology that is used to capture, transmit, process, and manage documents. In some cases, it is considered to include more than just the technology but also the strategies.

Of course, information has to be captured in the best manner possible. Capturing is an important element of ECM. Electronic files will need to be captured. If possible, there should be metadata for the various electronic files that have been captured. That will make it easy to locate the document in question by simply using the search technology.

There will be the need to extract information from documents that have been scanned. That can be done by using a number of technologies. One of them is optical character recognition technology. This will convert images into alpha numeric characters. Handprint character recognition and intelligent character recognition are the other technologies in the field of capturing scanned documents of a company.

Capturing information in the correct manner is just but one side of the equation. The other side involves the aggregation process. After the aggregation process is over, the data from the different sources will become unified. That will make such data to be usable. Aggregating information is not enough. There will also need to index it to make it easily searchable.

Finally, there will be document management. There are a number of issues that are involved in this phase. One of such matters is web content management. As a matter of fact, an organization can have a good deal of information in its web portals. Such information will require effective management. There will also be collaboration so that it is easy to share documents.

Information is power. That is a quote that was said by a famous person a very long time ago but it is still very relevant in modern day times. The managers need the best information so that they can make the best decisions for the welfare of the company. Employees also need to be constantly supplied with information on various aspects.
