By Loris F. Anders

As a manager, you need to do everything in your power to ensure that your employees are comfortable and efficient. One way, you can do this is by encouraging them to make their work easier, by establishing an enterprise paperless office. This will not mean waking up one day and banning the use of papers at work, but increasing the use computers and other devices, to store information.

Clearing the clutter is one of the advantages. One you get a paperless office you will not have to make space for a new cabinet, or add more shelves to your desk. The mess on tables will also be easier to handle. You will also not need to look for a bigger room or an extra storage locker, to keep all your client documents.

It can be very frustrating when a client is waiting for you, but you cannot seem to locate their files. Without a proper filing system, files get lost and jumbled up, which will lead to inefficiency in the workplace. By going paperless, you will be assured that all the data entered into your computer is at a particular location. Therefore, with a quick search, you can pull up information when you need it.

Very many things can go wrong when you are dealing with paper. A misplaced coffee cup can fall on your documents, ruining them or rats can start eating the files you have in storage. When you embrace a paperless format, your files are safer and less likely to getting lost or damaged. You can even apply additional safeguards, like saving your documents in the cloud system.

For people who work from home or in an office with many branches, reducing the use of paper is a relief. Not only will you have to spend less money on buying paper, faxes, printer and photocopiers, but you will also be able to get the work related documents you need, at any time and any place.

With the increase in natural calamities associated with global warming, most people are looking for ways to make their homes and offices more eco-friendly. The reduction of the use of paper at your workplace reduces the number of toxins in your trash, and also lowers your energy bill because you will be using your copier and printers less.

You could make this an office project, and put one of the employees in charge of assisting with the change. You can also hire a consultant to give you advice and pointers, which will allow you to make a transition that, will add value to your establishment.
